| Gadget | Shows |
|---|---|
| Work item activity | The most recent field changes for the projects you choose: who changed what, and when |
| Status over time | How many work items sat in each status on each day, rebuilt from their change history |
Adding a gadget
- Open the dashboard and press Add gadget.
- Find Work item activity or Status over time in the list and press Add.
- The gadget appears with a short description and a prompt to configure it.
- Open the gadget’s menu (the three dots) and choose Edit.
- Fill in the form below and press Save.
Until it is configured, a gadget explains what it will show and asks you to edit it. Nothing is loaded from Jira in that state.
Configuration
Both gadgets use the same form.
| Setting | Notes |
|---|---|
| Gadget title | Free text. Leave it empty to use the default for the chosen type. Jira’s own gadget header always shows the gadget’s name, so the app shows its title again only when you have changed it |
| Show | Recent changes or Status over time. A new gadget starts on the one you added; this switches it to the other display |
| Projects | Multi-select of the projects you can see |
| Extra JQL (optional) | Combined with the projects using AND. It is validated with Jira’s parser when you save, and the error is shown if it does not parse. If the check itself cannot run, the gadget saves anyway |
| Dates | The same presets as the explorer: today, yesterday, this or last week, this or last month, last 7, 30 or 90 days, or a custom range |
| Search (optional) | Words that every change shown must contain. Applies to the activity list and its count, not to the status chart. People and fields are left as “any” |
| Rows | 10, 25 (the default), 50 or 100. Applies to the activity list |
| Auto-refresh | Off (the default), or every 5, 15 or 60 minutes |
Reading the activity gadget
Each row shows the work item key as a link, the field that changed, when it changed, the old value, the new value and who made the change. Above the list:
- The number of changes in the period.
- A Refresh button.
- How long ago the data was loaded, for example Updated 5 minutes ago.
- Open the full report, which opens the explorer with exactly the gadget’s query and runs it straight away.
Time-tracking changes are shown as durations with the difference, for example 30m → 2h (+1h 30m).
Reading the status chart gadget
Above the chart, the count is the number of status changes in the period, the changes the chart is rebuilt from.
A stacked bar per day, or per week when the range is longer than 60 days, with a legend beneath. The legend shows the count on the last day of the range for each value. The six most common values get their own colour and everything else is grouped as Other. The first and last day of the range are labelled under the chart.
The series is rebuilt backwards: the app starts from each work item’s most recent loaded status change and undoes the changes in the range, day by day. A work item with no status change in its loaded history is not counted, because its status cannot be established from the changes alone. A work item is counted only from the day it was created.
Permissions and licensing
- A gadget loads history as the person looking at the dashboard. Two people can see different numbers on the same gadget, and neither sees work items Jira hides from them.
- A gadget needs an active subscription and the History reports permission. Without either, it shows a short note instead of data, naming whichever is missing, and its Edit form shows the same note instead of the settings.
Limitations
- A gadget loads at most 1,000 work items, whatever the explorer is set to. If more match, the gadget says only the most recently updated ones are counted. Dashboards are not the place for a 25,000-item report.
- The configuration form exposes projects, extra JQL, dates and a search box. Filters such as people, fields, NOT filters and transitions are available in the explorer, not in the gadget.
- Auto-refresh is a fixed choice of off, 5, 15 or 60 minutes.
- The status chart counts only work items with a status change in their loaded history.
- A load also stops at 150,000 changes.
- The chart is drawn for the gadget’s width and has no tooltips or drill-down. Use Open the full report for detail.
- Gadget configuration is stored by Jira with the dashboard, not by the app, so it does not appear in the app’s saved views.
